Q: Why does the copier keep turning off?
A: The machine is Energystar compliant, meaning that after an hour of inactivity, the machine turns itself off. It is called the Power Off function and it can be adjusted to activate from 1 minute to four hours.
Q: What is the difference between "sort" and "group"?
A: "Sort" means that it will collate each of your sets to look like the originals you put in the machine; example: you have a 5-page document and you copy it in sort mode - it will produce sets that will go pages 1 through 5 in order.
"Group" means that the sets will be uncollated into stacks of each page; example: the same 5-page document would come out with 5 different stacks, one for each page number.
Q: How do I enlarge / reduce the size of the copy?
A: Along the bottom of the touch screen is a button that reads “Copy ratio”, touching that will allow you to enlarge and reduce your copies either with preset buttons, or you can change the percentage manually.
Q: How do I make pictures look crisp and clear on this machine?
A: On the touch screen, along the bottom, is a button marked “Exposure”, touching that will allow you to choose between the different copy modes. Besides “Auto”, the other modes are: “Text” - if you are just copying a page of text; “Text/Photo” - if you are copying mostly text with clip-art or halftones on the document; and “Photo” - this mode copies pictures and other high definition images.
Q: What does the "Scan" button do?
A: The "Scan" button has the potential to act like a scanner for your computer. There are two (2) primary requirements for activating this feature. Q: How can I move text on my original, so that I can make a better copy?
A: Under the "Special Modes" button is another button that reads "Margin Shift". This button allows you to move your image right, left, upward, or downward on your page. It moves it from 1/8th of an inch up to a full inch, and it is defaulted at 1/2 inch, automatically.
Q: Is there a way that I can copy pages out of a book onto separate sheets of paper?
A: Under the "Special Modes" button is a button that reads "Dual Page Copy". This mode allows you to center the book and copy each page separately. To do this you must follow these directions: First, align the binding of the book with the 8 1/2 mark along the bottom of the glass. Next, center the book between the guides on the left side of the glass. Anything outside of the 11" guides will be cut off. Once you are aligned in both directions, you are ready to copy.
Q: When making a double-sided copy on the glass, how do I flip the page to get side 2 to copy in the correct direction?
A: When you flip the sheet for the second side, turn the page like you would a page in a book. If you do that, your copy will look just like the original.
Q: What is the paper divider in the paper drawer for?
A: What you call a “paper divider” is actually a paper guide. Its function is to hold the paper in the drawer in a neat stack. It can also be moved in order to put a different size of paper in the drawer. If you do put a new size paper in the drawer, you must also move the small green bracket in the back of the tray to the “new” size so that the copier will know that you have changed paper sizes.
Q: I am making double-sided copies and I got a paper jam. Where is the Duplexer so that I can clear the jam?
A: The Duplexer is located under the fuser unit on the left-hand side. If you open the drawer on the left side where the paper comes out, it is underneath the drawer.
Q: When adding toner to the machine, how do I know when the bottle is empty?
A: Simply tap the bottom of the bottle. If it feels light when you tap it, it is probably empty. If it is heavy, the bottle hasn’t emptied yet and you may need to tap the bottle a few more times to help the toner unclog itself, so it can flow into the machine.
Q: Where is the Waste Toner located?
A: It is on the right side, toward the rear of the machine. There is a small door; press it and it will unlatch. Inside is the Waste Toner Bottle, which slides in and out easily.
Q: How do you add staples?
A: It depends on the type of finisher that you have. If you have a small finisher, there will be a small door on the side facing the front. Open this door to access the stapler unit. There is a small green tab: press it upward and the staple cartridge will pop loose. Once loose, remove it and dispose of it and slide in the new cartridge. There should be a small click once it is in place. If you have a finisher that is as tall as the copier itself, pull the finisher away from the copier and look at the bottom, inside of the finisher. You will see a green lever near the bottom. Push down on this lever and the unit next to it will swing loose. Grab the unit by the green lip at its bottom and rotate it upward until it locks in place. Once locked in place, the stapler is now visible. There are two (2) green tabs on the unit; pinch them together and the staple cartridge will come loose. Pull it out and throw it away and then add the new cartridge. To close it, push down on the first green lever to unlock the unit again, and then push it downward until it locks into place. Finally, push the finisher back into place.
Q: What does it mean when I make a copy and the ink comes off?
A: This could mean several things. The safest thing to do is to call Van Dyk’s Service phone number, located on your machine, and give them your equipment ID # and explain the problem you are having with the copier. They will have a technician call you within four (4) hours to either walk you through a solution or tell you when they will be able to arrive at your location to resolve the problem.
Q: What should I do if I encounter F9-00 errors?
A: Reseat the SCSI cable and make sure the print board is seated into the print slot. Turn the power off to the copier and then restart it. Wait 5 minutes before resuming printing.
Q: What should I do if my workstation can’t print?
A: If one workstation cannot print, it could be for several reasons. Make sure you are properly logged on to the computer network. To be verify that you are logged onto your network, double-click on the Network Neighborhood icon to see if a list of workstations appears on the screen. Access one of your network drivers - if that works properly, go to the next step. Make certain that you have not disabled your print capability from your workstation. Go to “Start,” “Settings,” and “Printer.” Right-click on the icon for the Sharp copier in question. Is “Work off-line” checked? If it is, scroll down to the “Work off-line” box and de-select it. Also, check on whether the “Pause Printing” box is checked. If it is, deselect it. These steps should resolve the problem if print capability was disabled at your workstation. If this does not resolve the problem, determine if anyone else can print to the printer in question. If they cannot, contact your Network Administrator or contact Van Dyk’s Service Department. If other users are able to print and you still cannot, close all programs and restart your computer. When the computer comes back online, determine if you are able to print. If not, contact your Network Administrator.
Q: What should be done if no one can print to the copier?
A: Contact your Network Administrator.
Q: What if the unit prints, but the fonts are not correct?
A: When ready to print, select File, Print, Properties, Advanced tab, and Font. Next to “Font Source,” click the down arrow and select “Download Fonts.” Then click the down arrow next to “True Type Mode,” and select the appropriate mode. Then close the pop-up screens, returning to the “Print” screen. Click “OK” to begin printing. This should allow the copier to receive the desired font information before printing begins.
Q: How do I perform a confidential print?
A: When ready to print, perform the print operation as normal, however, at the Print menu, go to “Properties.” Click on the “Advanced” tab and access “Job Control.” Check the “Confidential print” box and enter the 5-digit PIN number that has been assigned to you. Click on “OK” and perform the print functions normally. When the print is sent, the data is stored and processed by the copier; however, the print will only occur when you physically go to the copier and then press the “Confidential Print” icon on the display panel. (It is in the top left side of the display.) The copier will ask for the PIN number and then it will give the option of printing, or deleting the job. Select the appropriate icon in the display.
Q: What do I do when error messages appear on the display?
A: For many of the error messages that might occur on your unit, the solution is to turn off the unit, wait several minutes, then turn the power back on. Wait for a minute or two before resuming printing. This should eliminate any error messages on the display. If the error message reappears, contact Van Dyk’s Service Department.
Q: Why can’t I duplex documents using the bypass tray?
A: Check custom settings in the Disable section and make sure “Disable tray” box is not checked. Also, check custom settings in Other Function settings and be certain that “Heavy paper in duplex tray” is not checked.
Q: Why does the copier only jam when duplexing?
A: Generally, this occurs only when there are obstructions in the duplex unit. Please check the duplex unit to ensure that there are no jams.
Q: What do I do if the “Start” button sticks, and the unit won’t stop copying?
A: Check the blue “Start” button to make sure that it is not stuck under the plastic panel covering.
